Terms and Conditions

By accepting your quote, you indicate that you have read, understood and agreed to the terms and conditions below.
All terms and conditions apply unless otherwise agreed in writing with PopUp WiFi.
Amounts listed are in USD unless otherwise stated.

1. Cancellations

1. 3 For self-install bookings, where all equipment is to be shipped and there are no onsite services booked:
a) Cancellations between 60 and 31 calendar days prior to your booking start date a cancellation fee of 10% will apply
b) Cancellations between 30 and 16 calendar days prior to your booking start date will incur a cancellation fee of 50%
c) Cancellations within 15 calendar days of your booking start date will incur a cancellation fee of 100% (no refund)

2. Postponements

2.1 For bookings with up to three wifi units you must provide a minimum of seven* calendar days notice of postponement
2.2 For bookings with four or more wifi units you must provide a minimum of 21 calendar days notice of postponement
2.3 All bookings require a minimum of 21 calendar days notice of the new start date.
2.4 Less than the above stated notice period for postponement will be treated as cancellation and fewer than 21 days notice of the new start date may result in the required equipment not being available.
2.5 You will be liable for any costs incurred as a result of any postponement. Suchs costs may include but are not limited to flights, accommodation and courier services where applicable.
2.6 We will endeavour to make postponements viable but this will ultimately be subject to availability, so the more time we have the better.

3. Data

3.1 Data packs can be purchased during the event for $200 per 200GB. Excess data will be charged at $5GB and billed the first business day after your event.
3.2 We will notify your nominated site contact via SMS and email when you reach 75% and 95% of your data allowance. You can decide whether to add more data or ask our technicians to enable data-saving measures such as rate-limitation or blocking certain websites to minimise usage for the rest of the hire.

4. During your hire

4.1 You will be introduced to your team of network engineers via email four days before your booking start date.
4.2 If someone other than yourself will be operating the unit(s), you are responsible for sharing our emails containing operating instructions, and your chosen network names and passwords with that person.
4.3 The Support number is printed on every unit. If you have any concerns or questions at all, please call the Support line straight away. Our friendly network engineers are always happy to help and can make changes in real-time. They can improve network performance within minutes, provided you contact them at the time.
4.4 Support calls are logged.
4.5 Network performance data is logged.
4.6 No refund can be provided for complaints lodged where no support call has been made at the time in question by you or a representative for your event.
4.7 Do not attempt to open the unit or guess the combination code. The unit is fully functional once connected to power.
4.8 Book in a time via return email to optimise your unit(s) once they are set up in the venue to get the best performance from your network.
4.9 If there’s no power, the unit(s) will not work. You are responsible for providing a consistent and reliable source of power. We can supply battery backup kits (UPS) if you’re using generators or don’t have power, simply ask for a quote.
4.10 Set up your unit(s) as per the instructions printed on the units: elevated to at least waist-height, open to the space and facing the devices to be connected. Don’t hesitate to call Support if you are in doubt.
4.11 If your unit is behind or inside something solid, or on the ground, performance will be impacted.
4.12 We are always keen to assist with any staff training, so please reach out if you would like some training for your team.
4.13 We don’t take responsibility for performance issues caused by incorrect installation of the unit(s). Full instructions are provided via email and are printed on each unit.

5. After your hire

5.1 In preparation for the courier, please ensure you have followed these steps:
a) Boxed up in the same packaging at the units arrived in with shipping labels applied; and
b) Dropped off at a UPS store the first business day after the end date of your booking, unless otherwise agreed.
Normal daily hire fees will apply for late returns.

6. Lost, stolen or damaged units

6.1 You are responsible for the PopUp WiFi equipment during the hire period and liable for $4,000 per unit in the event the unit is lost, stolen or damaged by any and every cause. Please take good care of your unit(s).
6.2 If the PopUp WiFi equipment is lost or damaged you will provide PopUp WiFI with prompt written notice of loss or damage.
6.3 In the event of total loss or stolen equipment you will provide PopUp WiFi with prompt written notice and pay PopUp WiFi any outstanding balance, if applicable, plus the equipment value as stated in section 5.1 of this quote.

7. Privacy

7.1 All of our systems are GDPR compliant.
7.2 Any data (including email addresses) collected as part of your activation/booking is available for up to 30 days from the end date of your event. We will not retain this data after 30 days have elapsed.
7.3 The information that you provide will be used to process your order, manage your account and personalise your network SSID and password.
7.4 Information provided to us will not be shared outside of PopUp WiFi or sold for marketing purposes.

Definition of Terms

Start Date - The first “in-use” date of the hire i.e. the first date listed on the quote.
End Date - The last “in-use” date of the hire i.e. the last date listed on the quote.
Self-install booking - A hire where there are no onsite services included in the quote. This applies to the hire of plug’n’play PopUp WiFi units that are shipped and the Hirer.
On-site services - Any booking that features one or more PopUp WiFi representatives onsite for setup or in-person management of any PopUp WiFi equipment.
You - the hirer and any person representing your event (including freelancers).
We - PopUp WiFi, our staff and representatives.
Unit - Any PopUp WiFi device.
Tower - A full-service PopUp WiFi device that features custom branding and onsite services.
